ELEMENTARY OVERVIEW
Books will be delivered Wednesday November 12th to Lincoln (16 cases!; 2 registers)
Set-Up Thursday November 13- Friday November 14
Fair Open Houses 3-? Monday November 17- Friday November 18 -- (Schools featured TBD/teacher Preview?)
Fair Take Down November 24th-25th; financial close out
Pick Up November 26th

Friday, November 14 (ALL the help we can get and all the LMS's needed to set up fair) after school until 6 pm

Monday, Nov. 17 Teacher Preview Night (LMS on this evening Liz Ryan) 3-6pm

Tuesday, Nov. 18 Sacandaga (LMS on this evening Kari Moretti) 3-6 pm

Wednesday, Nov. 19 Glen-Worden (LMS's on this evening Maureen Palleschi & Tracy Lescault) 3-6pm

Thursday, Nov. 20 Glendaal (LMS on this evening Maureen Palleschi) 3-6pm

Friday, Nov. 21 Lincoln (LMS on this evening Tracy Lescault) 3-6 pm

Monday, November 24 (All the help we can get and all the LMS's needed to take down Fair) 3-6pm

Book Fair Planning List from Scholastic



1 Year Out

Schedule book fair dates with Scholastic representative

Communicate evening events to Bob Hanlon for school calendar

Sign contracts with Scholastic



6 Months Out

Attend Scholastic Book Fair Chairperson’s training



5 Weeks Out

Thoroughly read Scholastic Book Fair Toolkit

Review all Scholastic Resources regarding collection and business practices

Recruit volunteers and schedule

Confirm delivery dates with Scholastic and school office/custodians



4 Weeks Out

Reserve space within the school for the Book Fair, including SG’s Facility Use Form

Select operating hours (day and evening)

Schedule classes into the book fair

Brainstorm advertising, themes, activities

Confirm dates for evening events with families and after school events with faculty

Receive training on utilization of the new

3 Weeks Out

Submit PR to school newsletters

Photocopy resources for each class of students forwish list day (first visit) and purchase date (second visit)



2 Weeks Out

Review

Customize and hang posters

Recruit and schedule parent Volunteers for Set Up and take down of the event and for support during class visits

1 Week Out

Confirm schedules with volunteers and classroom teachers

Distribute information to families

Accept merchandise from Scholastic

Review merchandise (not all is appropriate for our school community)

Set up merchandise (physically demanding)

Go to bank to get cash and change for

(fronting the money or asking PTA to supply)

Secure merchandise

Add "Last Copy" stickers to each title so that the last copies are not purchased



Book Fair Week(s)- sometimes 2 full weeks

Facilitate and participate in reader's advisory and purchasing visits

Train volunteers on check out procedures, including

Conduct student and faculty pre-visits

Balance cash drawer at the end of each shift/record sales

Count money daily

Prepare bank deposits

Arrange for orders of materials that sell out

Arrange for parent/student volunteers to assist younger grades with writing their wish lists

Stay after school for 4-5 hours for a Family Night and or Teacher Sneak Preview



Week Following Book Fair

Select books received for

Repack product and prepare them for pickup (physically demanding)

Fill out e-version of sales record

Continue receiving, recording, and delivering back orders

Arrange for financial remuneration (3 day window)
